Who we are

Colombo Builders Ltd is the controller responsible for personal information covered by this policy. We are a building company based in Romford and registered in England and Wales under company number 13122426.

Information we collect

We may collect information you provide when you contact us by form, email or telephone, including your name, contact details, project postcode, project type, approximate budget, project description and any other information you choose to provide.

Our website hosting and security systems may also process limited technical information such as an IP address, browser or device type, requested page, date and time, and security or server-log information. We do not ask you to provide special category information through the enquiry form.

How and why we use information

We use personal information to:

  • respond to enquiries, discuss requirements, arrange visits and prepare quotations;
  • take steps at your request before entering into a contract and deliver agreed building services;
  • manage customer relationships, project communications and business records;
  • meet tax, accounting, legal and regulatory obligations; and
  • keep the website and our communications secure and prevent misuse.

Our lawful bases are taking steps before or performing a contract, complying with legal obligations, and our legitimate interests in responding to enquiries, operating and protecting the business, maintaining appropriate records and establishing or defending legal claims. Where we rely on consent for an optional activity, you may withdraw it at any time.

Sharing information

We use Firebase Hosting to publish the website, Formspree to receive and deliver website enquiries, and—only after a visitor gives consent—Google Analytics to measure website use. Information submitted through the enquiry form is sent to Formspree for delivery to Colombo Builders. We may also share personal information only where necessary with email, IT, accounting and professional service providers acting on our instructions; trades or suppliers involved in assessing or delivering a project; and public authorities, regulators, insurers or advisers where required by law or to protect legal rights. We do not sell personal information.

Some service providers may process information outside the United Kingdom. Where this happens, we require an appropriate legal safeguard, such as an adequacy regulation or approved contractual protections.

How long we keep information

We keep information only for as long as reasonably necessary for the purpose it was collected. The period depends on whether an enquiry becomes a project, the nature of the work, our ongoing relationship, and applicable tax, accounting, warranty, insurance or legal-claims requirements. Enquiries that do not proceed are periodically reviewed and deleted when there is no continuing business or legal need to retain them.

Security

We use proportionate technical and organisational measures to protect personal information. Access is limited to people and service providers who need it for the purposes described above. No internet transmission or storage system can be guaranteed completely secure.

Cookies and analytics

We use Google Analytics 4 to understand how visitors find and use this website, but only if you select “Accept analytics”. Google Analytics may then process information such as pages viewed, approximate location derived from an IP address, device and browser type, referring website and interactions with pages. We also record successful enquiry-form deliveries and clicks on telephone, email or WhatsApp contact links as lead events. We do not send the contents of enquiry forms, telephone numbers or email addresses to Google Analytics.

Analytics cookies, including cookies beginning _ga, may be stored after consent. If you decline, the Google Analytics tag is not loaded and no analytics information is sent by this website. Advertising storage, Google signals and ad-personalisation features are disabled.

You can accept, decline or change your decision at any time using “Cookie settings” in the footer. Withdrawing consent stops future analytics collection and the site attempts to remove its Google Analytics cookies. Google may process analytics information outside the United Kingdom using applicable legal safeguards. Essential hosting and security systems may still process limited technical data required to deliver and protect the website.
